1. Who this policy covers
ECOMCARE Mail ("EC Mail", "we", "us", or "our") is an internal enterprise email tool operated by ECOMCARE. It is not a consumer email service. Access is limited to authorized ECOMCARE staff and outsourced specialists who have been invited to use it for ECOMCARE business.
2. Information we process
We process the information needed to provide and secure the mail client, including:
- account and authentication details, such as your name, work email address, user identifier, and access role;
- mailbox content and metadata, including messages, subjects, senders, recipients, timestamps, labels, threads, attachments, and delivery status;
- files, photos, or videos that you choose to select or capture as email attachments; EC Mail accesses the camera or photo library only after you request the relevant attachment action and grant the applicable device permission;
- device and notification information, such as an Apple Push Notification service device token, app version, notification preferences, and delivery diagnostics;
- operational records, such as configuration, audit, security, and error logs; and
- when you connect Gmail, the Google account email address, Gmail messages and metadata required for the features you enable, and the authorization tokens required to maintain that connection.
3. How Gmail data is used
EC Mail uses Gmail data only to provide requested enterprise email functions: connecting an authorized Gmail mailbox, importing or synchronizing mail, displaying and organizing mail within EC Mail, sending email through the connected mailbox, and maintaining reliable delivery and security. Users choose whether to connect Gmail and may disconnect it from the mail client.
We do not sell Gmail data, use it for advertising, or use it to create advertising audiences. We do not allow humans to read Gmail data except when an authorized user or administrator needs access for the enterprise mail service, security, legal compliance, or support, and only subject to appropriate access controls. EC Mail's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
4. Why we process information
We process information to operate ECOMCARE's business communications; authenticate users; provide email, attachment, search, routing, and synchronization features; protect systems and data; investigate incidents; meet contractual, legal, and recordkeeping obligations; and administer authorized user access.
5. Sharing and access
Access is limited to authorized users, ECOMCARE administrators, and outsourced specialists with a business need and granted permissions. We may use carefully selected service providers to host, secure, transmit, or support the service, subject to contractual or technical safeguards. We may also disclose information where required by law or necessary to protect ECOMCARE, its users, or others. We do not sell personal information or Gmail data.
6. Retention, disconnecting Gmail, and deletion
We retain information for as long as needed for ECOMCARE operations, security, recordkeeping, and legal obligations. Disconnecting a Gmail mailbox stops future Gmail synchronization and revokes the stored Google authorization where possible; previously imported mail remains in EC Mail unless the authorized user or administrator removes the mailbox or ECOMCARE's retention processes remove it. Removing a Gmail-created mailbox deletes its associated EC Mail mailbox data, subject to technical, legal, and backup-retention limits.
7. Security
We use access controls, authenticated sessions, role-based permissions, encrypted transport, and protected credential storage designed to safeguard the service. No system can be guaranteed completely secure; users must protect their credentials and promptly report suspected unauthorized access.
8. Your questions and requests
Because EC Mail is an enterprise tool, access, correction, and deletion requests may be managed through your ECOMCARE manager or administrator and may be subject to company records obligations. For privacy questions or to request help with a connected Gmail account, contact support@ecom.care.
9. Changes to this policy
We may update this policy to reflect changes to the service or applicable requirements. The current version and its effective date will be posted on this page.
